The purpose and meaning of this role: The Site Coordinator ensures smooth daily operation of an education site by coordinating administrative, operational, and student-facing activities. This role supports staff and learners, maintains a safe and welcoming environment, and acts as a key contact between the site, central teams, and external partners. The Site Coordinator will work collaboratively across academic, student services, and facilities teams to deliver high-quality local operations that support learning outcomes and a positive experience for all site users.
Your key responsibilities: Site Operations and Administrative Support
- Coordinate day-to-day site activities including reception, room bookings, equipment setup, and general facilities oversight.
- Act as primary onsite contact for students, staff, and visitors; provide timely, professional support and clear communication.
- Manage student attendance processes, sign-in systems, and routine record-keeping in line with organisational requirements.
- Support local enrolment, orientation and induction activities for learners and staff.
- Maintain office and learning spaces by arranging cleaning, minor maintenance, and liaising with facilities or external contractors as required.
- Monitor site supplies and manage procurement of consumables within delegated budgets and approval processes.
Key Performance Indicators:
- Site operations run smoothly with minimal disruption to scheduled learning activities.
- Timely resolution of onsite issues and clear communication to stakeholders.
- Accurate and compliant maintenance of attendance and administrative records.
- Positive feedback from students, staff and visitors regarding site experience and responsiveness.
Your key responsibilities: Student Support and Safeguarding
- Provide front-line support to students, including guidance on site services, referrals to student services, and escalation of welfare or wellbeing concerns.
- Maintain a safe and inclusive environment by following safeguarding policies, reporting procedures, and health & safety requirements.
- Assist with student communications, scheduling of appointments, and coordination of pastoral support where needed.
- Contribute to monitoring and supporting learner engagement and attendance interventions.
Key Performance Indicators:
- Student enquiries are addressed promptly and appropriately; high satisfaction with local support services.
- Safeguarding and health & safety incidents are reported and managed according to policy and within required timeframes.
- Improved student attendance and engagement metrics at the site level where applicable.
Your key responsibilities: Collaboration, Events and Continuous Improvement
- Work collaboratively with academic, operations and central teams to implement local initiatives and ensure alignment with organisational standards.
- Coordinate on-site events, examinations and promotions, including logistics, communications and post-event follow-up.
- Contribute to continuous improvement by identifying operational efficiencies, documenting local procedures and sharing best practices with other sites.
- Participate in planning, team meetings and training to support consistent delivery across the organisation.
Key Performance Indicators:
- Successful delivery of local events and activities with positive stakeholder feedback.
- Operational improvements implemented and local procedures maintained to a high standard.
- Effective collaboration and timely communication with central teams and other site coordinators.
Other responsibilities:
- Support promotional activities and local recruitment events as required.
- Maintain a safe work environment and adhere to occupational health and safety policies.
- Engage in agreed professional development and remain current with relevant policies and systems.
- Attend relevant team and organisational events and contribute positively to company culture.

Experience and skills:
- Relevant tertiary qualification or equivalent experience in administration, education support, or operations preferred.
- Previous experience in a customer-facing or site coordination role within education, hospitality, retail or a related environment.
- Strong organisational skills with the ability to prioritise tasks, manage time effectively and multitask in a busy environment.
- Excellent interpersonal and communication skills; ability to engage respectfully with diverse learners and stakeholders.
- Proficient with office systems, student management systems and common productivity software; willingness to learn new platforms.
- Knowledge of health & safety and safeguarding practices; experience following related policies and procedures.
- Demonstrated problem-solving mindset, attention to detail, and commitment to continuous improvement.
